Hotels have been ordering custom labeled bottled water from us for over 20 years. The use case is consistent: a bottle of water with the hotel's name and logo on it does something a generic bottle can't — it signals that the property pays attention to details. That signal matters to guests, and it matters to the procurement managers who decide what goes in guest rooms, meeting rooms, and event spaces.
This guide covers everything hotel buyers need to know: why custom labeled water works, what to put on the label, which bottle format fits which application, and how to order at the volumes hotels actually need.
Why Hotels Use Custom Labeled Bottled Water
The short answer: it's one of the most cost-effective branded touchpoints in a hotel room.
A bottle of water with your hotel's logo on it costs less than a dollar. It sits on the nightstand, on the desk, on the conference table. Guests pick it up, look at it, and drink it. That's 10-20 minutes of brand exposure per bottle — more than most in-room amenities deliver at that price point.
The longer answer involves how guests form impressions of a property. Branded water communicates that the hotel has thought about the details. It's the same reason high-end properties use custom toiletries, custom stationery, and custom robes. The logo on a water bottle is a small thing, but it's part of a coherent branded environment that guests notice and remember.
Hyatt Regency is one of our long-term clients. They use custom labeled water across multiple properties for exactly this reason — it's a consistent, cost-effective way to reinforce the brand at every guest touchpoint.
Where Hotels Use Custom Bottled Water
Guest Rooms
The most common placement. Two bottles per room at turndown, or a single bottle at check-in as a welcome amenity. For VIP arrivals and suite guests, branded water is often part of a larger welcome package alongside other amenities. The 16.9oz plastic bottle is the standard for guest rooms — it's the size guests expect, and it's cost-effective at the volumes hotels need.
Meeting and Conference Rooms
Hotels with event space use branded water on meeting room tables as a standard setup. For conferences and corporate events hosted at the property, branded water reinforces the hotel's identity throughout the event. Some properties offer custom-labeled water as an upsell for event clients — the hotel's logo, or the client's logo, depending on the arrangement.
Restaurant and Bar Service
Boutique hotels and properties with a strong F&B identity sometimes use branded water at the restaurant or bar as a premium touch. This works particularly well with aluminum bottles, which have a higher-end look and feel that fits a fine dining or cocktail bar environment.
Spa and Fitness Center
Branded water in the spa waiting area and at the fitness center is a detail that guests notice. It's a small thing that reads as intentional — the property has thought about the guest experience in every space, not just the lobby and the room.
Lobby and Check-In
Offering a branded bottle of water at check-in is a hospitality gesture that costs very little and creates a strong first impression. It's particularly effective for properties that want to differentiate on service — the bottle is tangible, it's useful, and it carries the hotel's brand from the moment the guest walks in.
Bottle Options for Hotels
Plastic Bottles (8oz, 12oz, 16.9oz)
Our plastic bottled water options are the standard choice for most hotel applications. The 16.9oz size is the most common for guest rooms and meeting rooms. The 8oz size works well for spa settings, children's programming, or situations where you want a smaller format.
Pricing starts at $0.29 per bottle. For a 200-room property that turns over bottles daily, a typical monthly order runs 6,000-12,000 bottles depending on placement strategy. Volume pricing applies at these quantities — contact us for a quote based on your specific usage.
Aluminum Bottles (16oz)
Our aluminum bottle sizes and pricing start at $1.25 per bottle. Aluminum is the right choice for properties that want a premium presentation — boutique hotels, luxury resorts, upscale F&B settings. The material communicates quality in a way plastic doesn't, and the larger label surface gives you more room for design.
Aluminum is also infinitely recyclable, which matters for properties with sustainability commitments or green certifications. If your hotel has ESG goals or participates in green hotel programs, aluminum is the better story to tell guests.
Label Design for Hotels
Hotel labels are different from event labels or wedding labels. The goal is brand consistency, not a one-time message. The label needs to work across every placement — guest room, meeting room, spa, lobby — and it needs to look right in photos, which means it needs to look right at a glance.
The most effective hotel labels are clean and logo-forward. The hotel name and logo, the city or property name if relevant, and nothing else. Some properties add a tagline or a website. Very few add more than that — and the ones that do usually wish they hadn't.
We accept vector files — EPS, AI, SVG, PDF at minimum 300 DPI. Check our label art specifications before you send files. If you don't have production-ready artwork, our design team will create the label at no extra charge. We've worked with hotel brand standards teams before and understand the requirements around logo usage, color matching, and brand compliance.
Full-color waterproof labels are standard on every order. They don't peel, wrinkle, or run when bottles sit in ice buckets or condensate in a warm room. That matters in a hotel environment where bottles are handled by housekeeping, stored in back-of-house, and placed in rooms that may not be perfectly climate-controlled.
Ordering at Hotel Scale
Hotels have different procurement needs than event buyers. A few things that matter at hotel scale:
Ongoing supply vs. one-time orders. Most hotels set up a recurring order schedule rather than ordering ad hoc. We can work with your procurement team to establish a regular delivery cadence — monthly, quarterly, or on a par-level system where you reorder when stock drops below a threshold. Reorders are faster than first orders once your label is on file: typically 7-10 business days.
Freight logistics. Large hotel orders ship on pallets via freight carrier. We have bottling plants across the US — when you request a quote, include your delivery address and we'll route from the closest facility to minimize freight cost. For a 200-room property, a pallet of 16.9oz bottles covers roughly 1,800 bottles. Most hotel loading docks can receive pallets without issue.
Multiple properties. If you're procuring for a group of properties, we can coordinate orders across locations with consistent label design and separate delivery addresses. Brand standards stay consistent; logistics are handled per-property.
Lead time for first orders. First orders take 2-4 weeks from label approval to delivery. If you're launching a new property or rebranding, plan accordingly. Rush options are available — contact us for pricing.
Pricing for Hotel Orders
For custom bottled water starting at $0.29, pricing scales with volume:
- Plastic bottles: Starting at $0.29/bottle. Volume discounts apply at hotel-scale quantities.
- Aluminum bottles: Starting at $1.25/bottle.
- Label design: Included at no extra charge.
- Freight: Calculated by weight and distance, included in your quote.
For ongoing hotel accounts, we work with your procurement team to establish pricing that reflects your annual volume — not just the first order. Hotels that order consistently get better rates than one-time buyers.
